Leader Information 

Introduction 

Thank you for being a group leader. We hope that as well as providing education and enjoyment to others, you benefit from being a leader yourself.

Website 

Please familiarise yourself with the U3A website as you have access to facilities that will enable you to administer your course quickly.  Your group member confidential information, register, group numbers and waiting list are available to you on the Scarborough U3A website.  You have the ability to email your members, accept waiting list members and print your register.  Instructions are in this Leader Pack.  

Group Register  

Your register is printed with the names of those people who have asked to be enrolled in your group and, if relevant, the names of people who are on the waiting list.   

We complete a course attendance for the reasons set out below:  

Attendance 

We request that leaders operate a group attendance register which will be completed at each session and given to the Group Co-ordinator every 12 sessions.

Group Vacancies 

A large percentage of our courses operate a waiting list.  Given this it is important that we free up space for members when able. If someone does not turn up to your group for 3 consecutive weeks without explanation, please contact the individual and ask if they plan to continue.  If they have decided not to continue please remove them from your group using the website facility.  

If you have any vacancies, please allocate someone from the waiting list which will also be visible on the website.   If you have a new member on your waiting list who is not on any other course, please make this individual a priority if possible.  If you do not have a waiting list, people can apply to join at any time through the website by email, contacting you by telephone if you have given permission for your telephone number to be available.  People can also make contact with eitherJeff Bennett our Membership secretary or Diz Dexter Groups Co-ordinator.  

We would also be grateful if you could inform our U3A Secretary, Gina Ennevor of any serious illness or bereavement amongst your group members u3asecretary@scarboroughu3a.co.uk 

Cancelled sessions 

If you have to cancel a session please let your group members know and if in a rented or free accommodation please let both the venue know and Group Coordinator Diz Dexter u3agroups@scarboroughu3a.co.uk 

The more notice that can be given to cancel a booking the less likely we are to be charged the rental (most venues require at least 24 hours notice).  If ‘on the day’ due to illness or inclement weather please telephone the venue directly and then let  the Group Coordinator know.

Risk Assessments on venues 

We have included a number of risk assessments in the leader pack to assist you.  Please can you familiarise yourself with them.  Areas to consider are:

Walkways free from trip hazards 

Kitchen facilities accessible & clean 

First Aid equipment accessible  

Should you have any concerns please speak with the venue and the Groups Coordinator.

Accident Report Forms 

Should an accident occur in your group, please fill out our Accident Report Form (in pack) as soon as possible after the incident.  This is needed for insurance purposes, please note that if in rented accommodation it will be necessary to give this information to the individual responsible for the accommodation.

Refreshments 

We charge £1.00 for tea/coffee and biscuits but if you are holding the group in your own home the charge is up to you.  At other venues you can either provide your own refreshments or use the café where there is one.
